Listing Agent

Specific Services Provided:

  • Forward contract to escrow and obtain escrow number
  • Communicate with Agent, escrow, lender, and other agent or TC
  • Track deadlines per contract agreement
  • Receive transaction related documents via email, fax, courier, and mail
  • Deliver required forms to client(s), and other agent or TC for signatures
  • Order Natural Hazard Report
  • Order Home Warranty
  • Schedule inspections, per Agent’s request (i.e., termite, property and other required inspections)
  • Maintain strict confidentiality regarding access to Agent files
  • Provide a copy of fully executed file to client upon request

When New Listing Arrives:

  • Check that all signatures, initials and dates are completed for:
    • Seller Agency Disclosures (AD & PRBS)
    • Listing Agreement and all documents related to specific listing type
    • Sellers Advisory (SA)
  • Print copy of MLS listing for file
  • Upload initial paperwork to agent’s broker system and/or managing personnel
  • Schedule Pest Inspection – if agent and sellers choose at this point
  • Assemble disclosure packet and prepare for agent and clients to sign
  • Deliver to client for signatures – Email □ DocuSign □ 
  • Obtain agent signatures on disclosures

Buying Agent

Specific Services Provided:

Additional Services

The TC is a licensed Real Estate Agent and, for additional fees (determined on an individual basis), will work on behalf of the Contracting Agent to do the following:

  • Direct escrow to make changes in the escrow instructions
  • Accept keys or arrange for key delivery
  • Prepare or send for signature any counter offers
  • Prepare documents other than disclosures
  • Attend inspections for agents
  • Final walkthrough
  • Counsel or advise any parties in the transaction, if necessary, in the absence of contracting agent (i.e. vacationing, unexpected emergencies, etc.)
  • Other – as determined on an individual basis

Questions and Answers

What is a transaction coordinator?

A Transaction Coordinator (TC) manages all details involved in closing a real estate transaction and monitors the entire process through agents, clients, and escrow companies.

Do you have a cancellation fee?

We only get paid in the event the transaction closes. If the client simply changes their mind and decides not to sell or your buyer walks, there is no fee.

Will you have contact with my clients?

This is completely up to you. However, it is most efficient if we may communicate directly with your client. We keep you informed of all communications and CC you on emails with important correspondence.

Are my files secure and confidential?

We do not share your information with anyone and they are very secure. We have strict guidelines and unless you grant us permission to share any information, it will be kept confidential even from the broker.

Can you help with a transaction I have already started?

Yes, we can take over paperwork on a transaction that has already been started.

What if my office is far away from you?

As a virtual company, we work almost entirely paperless with agents and brokers. You do not need to be located near our office in order for us to work with you.

How can I contact my TC?

You will receive all contact information for your Transaction Coordinator. We provide you cell, office, email, and text.

What if I lose the file?

Once a file is complete, it is scanned and archived securely. It may be reproduced on CD, emailed to you or printed and sent to you at your request. We never delete any files unless specifically requested to do so.

How will I know what is happening with my transaction?

You will have 24/7 access to your file through our online transaction management system. All documents are uploaded and updated as they are received, and you will have regular contact with your Transaction Coordinator.
